Summary:

 

Reporting directly to the Sr. Vice President, General Counsel & Chief Compliance Officer, the Executive Assistant will provide executive support to the Sr. Vice President, General Counsel & Chief Compliance Officer and the Chief Business Officer and their respective departments. The Executive Assistant must be responsive to dynamic organizational needs and drive best solutions to achieve company priorities. The Executive Assistant will work independently on projects, from conception to completion, and must be able to work under pressure at times to handle a wide variety of activities and confidential matters with discretion. 

Essential Functions:

  • Optimize and ensure their preparation and effectiveness.
  • Anticipate and manage meeting, travel, and other logistical demands.
  • Proactively and strategically manage their calendar ensuring schedules match with the executive’s priorities.
  • Represent Vaxcyte to several external constituents.
  • Attend meetings, compose meeting materials, take notes, and manage follow-up.
  • Organize and execute team functions such as team building, and offsite events as requested.
  • Assist with legal team projects, as assigned.
  • Assist General Counsel with managing team priorities and keeping track of assignments, projects and timelines.
  • Build cross-functional relationships at all levels of the Company to ensure understanding of the business, leaders and workflow.
  • Collaborate and partner closely with other EAs regarding company-wide activities, cross-functional meetings, etc.
  • Engage in company-wide culture team activities, including logistical support.
  • Provide ad-hoc support as requested to individuals across the executives’ teams.
  • Demonstrate composure and flexibility, regardless of competing priorities.
  • Find new and efficient ways to create work processes to help maximize your executives' time, such as weekly reporting, goal-tracking, tracking team travel arrangements, and team meetings.

Requirements:

  • Bachelor's degree with a minimum of 10 years’ experience supporting executive level leaders.
  • Exceptional organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with attention to detail. 
  • Strong interpersonal skills and the ability to build relationships. Demonstrates emotional maturity and a track record of developing strong credibility and trust with all levels within the organization.
  • Exceptional communication skills, both written and verbal.
  • Proven project management skills with experience driving internal and external events and business deliverables.
  • Solutions-oriented individual who can detect problems early and actively seeks opportunities and proposes creative and practical solutions. 
  • Resourceful with ability to be effective working independently or as part of a project team. 
  • Proven ability to handle confidential information with discretion and discernment and demonstrate the highest level of customer/client service and response.
  • Demonstrated ability to achieve high-performance goals and meet deadlines while managing changing or competing demands. Thrives in a fast-paced, growing organization.
  • Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Zoom.
  • Interest in AI and some hands-on experience applying it in a professional setting.
  • Ability to work onsite 3 days a week required.

Reports to: Senior Vice President, General Counsel, Chief Compliance Officer and Corporate Secretary

 

Location: San Carlos, CA

 

Compensation:

The compensation package will be competitive and includes comprehensive benefits and an equity component.

 

Salary Range: $132,000 – $145,000
