📐 About this role

This Executive Assistant role will provide comprehensive administrative support to multiple C-suite executives, ensuring smooth operations and enabling them to focus on strategic initiatives. This role requires exceptional organizational skills, the ability to multitask, and a strong sense of discretion and confidentiality.

🦸🏻‍♀️ Your responsibilities

  • Calendar Management:

    • Manage complex calendars, scheduling meetings, appointments, and travel arrangements

    • Coordinate with internal and external stakeholders to ensure seamless scheduling

  • Communication:

    • Handle correspondence, including emails, phone calls, and messages, ensuring timely and professional responses

    • Draft and prepare documents, presentations, and reports as needed

  • Meeting Coordination:

    • Organize and coordinate meetings, including preparing agendas, taking minutes, and following up on action items

    • Ensure all necessary materials and resources are available for meetings

  • Travel Arrangements:

    • Plan and book domestic and international travel, including flights, accommodations, and transportation

    • Manage travel itineraries and ensure all necessary documents are in order

  • Expense Management:

    • Process and track expense reports, ensuring compliance with company policies

    • Reconcile credit card statements and manage reimbursements

  • Project Management:

    • Assist with special projects and initiatives, providing administrative support as needed

    • Track progress and ensure deadlines are met

  • Office Management:

    • Maintain office supplies and equipment, ensuring a well-organized and efficient workspace

    • Coordinate with other departments to ensure smooth office operations

  • Confidentiality:

    • Handle sensitive and confidential information with the utmost discretion

    • Maintain strict confidentiality regarding company and executive matters

  • Proven experience as an Executive Assistant or similar role, preferably supporting C-suite executives

  • Experience in a fast-paced, dynamic environment

  • Excellent organizational and time management skills

  • Strong written and verbal communication skills

  • Proficiency in Google Workspace and Slack

  • Ability to multitask and prioritize effectively

  • Strong attention to detail and accuracy

  • Ability to work independently and take initiative

  • Strong interpersonal skills and a customer-focused mindset

  • Proactive and solution-oriented

  • Ability to maintain confidentiality and handle sensitive information
