Job Description: Talent Acquisition Team Assistant

Position Overview: We are seeking a proactive and detail-oriented Talent Acquisition Team Assistant to support our recruiting and talent acquisition processes. The successful candidate will assist with various administrative tasks, including requisition management, candidate outreach, system updates, and audits. This role is ideal for someone looking to grow their career in talent acquisition and HR while working in a collaborative, fast-paced environment.

Key Responsibilities:

  • Ensure job requisitions are accurate and up to date in the system.

  • Collaborate with hiring managers to gather necessary information and ensure completeness.

  • Validate show rates for class submissions with Onboarding  to ensure the accuracy and efficiency of numbers reported

  • Regularly audit Indeed job postings to ensure proper usage and compliance with posting guidelines.

  • Generate reports to track performance metrics and recommend improvements.

  • Contact candidates for confirmation of interview times, availability, and next steps in the recruitment process.

  • Update and maintain the Employee trackers, including ensuring email and employee information is up to date

  • Reach out to candidates to remind them of pending tasks, such as background checks and other necessary documentation.

  • Organize and set up hiring events, ensuring all logistical details are handled, including invites and technology setups.

  • Assist with maintaining and updating recruitment files, ensuring that all candidate and job-related information is current and accurate.

  • Regularly update and maintain the volume recruitment files, ensuring data accuracy and timely updates to keep the team informed.

  • As the role evolves, additional tasks may be added based on the needs of the department, including assisting with onboarding, internal reporting, and more.

Qualifications:

  • Education: High School Diploma required; Associate’s or Bachelor's degree in HR, Business, or related field preferred.

  • Experience:

    • Previous experience in administrative support, talent acquisition, or HR is a plus.

    • Proficiency in Google Suite and familiarity with recruitment software (e.g., Applicant Tracking Systems).
       

  • Skills:
     

    • Strong attention to detail and organizational skills.

    • Excellent communication skills, both written and verbal.

    • Ability to manage multiple tasks in a fast-paced environment.

    • Ability to maintain confidentiality and handle sensitive information.

    • Strong problem-solving skills and a proactive approach to work.

  • This position may require occasional overtime, especially during high-volume recruitment periods.
