Job Description

Peterson Cat has a need for a Payroll Supervisor at our San Leandro, CA location.

SUMMARY

The Payroll Supervisor oversees Peterson’s day-to-day payroll-related functions. This position is responsible for directly supervising payroll personnel; ensuring integrity between the payroll module, general ledger module, and operations modules; and assisting with system upgrades, configurations, and changes.

ESSENTIAL JOB FUNCTIONS

  • Supervise day-to-day activities of the payroll team, including, but not limited to semi-monthly, multi-state payroll processing; time tracking; and payroll tax compliance.

  • Review payroll calculations to ensure accuracy, and compliance with state and federal tax regulations.

  • Oversee timely payment of payroll tax deposits and timely filings of quarterly and annual tax returns/annual W-2 statements.

  • Supervise all payroll input, processing and paycheck distribution.

  • Audit employee transactions to ensure data integrity.

  • Audit commissions pursuant to defined programs; respond to inquiries and research discrepancies.

  • Oversee administration and payment of payroll deductions and insurance premiums. 

  • Oversee timely reconciliation and payment of Worker Compensation; adjust accruals as needed.

  • Ensure the Company complies with federal, state, and local legal requirements by keeping current on legislation and enforcing adherence to requirements.

  • Oversee prevailing wage compliance and reporting requirements.

  • Act as the primary resource for general ledger functions related to payroll, including payroll journals, accruals, balance sheet account reconciliations, and research of reconciling items; Assist with variance analysis and reporting.

  • Prepare payroll and analytics to provide insights into payroll related trends and metrics.

  • Assist in internal and external payroll audits; provide accurate payroll records, documentation, and ensure compliance with audit requirements.

  • Document all policies and procedures and ensure controls are maintained and followed.

  • Provide subject matter expertise to software vendors and participate in the implementation of Payroll, Human Resources Information Systems (HRIS), Information Technology (IT), and accounting system updates and changes.

  • Collaborate with Human Resources (HR) to ensure union contract compliance.

  • Review accrual and payment of monthly union benefits.

  • Identify opportunities to streamline payroll processes, enhance efficiency, and implement best practices to optimize payroll procedures.

  • Maintain employee confidence and protect payroll operations by keeping information confidential.

  • Maintain professional and technical knowledge by attending educational workshops, reviewing professional publications, establishing personal networks, and participating in professional societies.

  • Hold JumpStart meetings regularly, allow others to lead the meeting, and help interject enthusiasm and energy into meetings.

  • Travel up to 10% of the time to Peterson locations to meet with coworkers and conduct payroll-related training

  • Maintain punctual, regular, and predictable attendance

QUALIFICATIONS

  • Must display ability to build trust among direct reports and peers alike with reliability and credibility, work efficiently and independently, multi-task, and meet deadlines with minimal direction and supervision

  • Must display understanding of payroll-related financial accounting and management

EDUCATION and/or EXPERIENCE

Associates Degree from a fully accredited college in Accounting or other closely related field; and a minimum of five (5) years of directly related experience in payroll processing, preferably in a complex, multi-division/multi-company enterprise with employees covered by a collective bargaining agreement; or an equivalent combination of education and work experience.

  • Must have 3+ years of supervisory experience, preferably in payroll.   

CERTIFICATES, LICENSES, REGISTRATIONS

Certified Payroll Professional (CPP) Certification preferred

The pay range for this position is: $100,000 - $120,000 (Starting wage will depend on experience and education. We also offer a total compensation package in addition to base salary.)
