Job Summary

We’re looking for a highly organized and proactive Office Manager to ensure that Teleo’s workplace runs efficiently.  In this role, you'll be responsible for the smooth, efficient, and organized operation of the Palo Alto office and lab, encompassing tasks from managing facilities and supplies to onboarding new employees and supporting the team. 


Duties/Responsibilities

Oversee office supplies, inventory, and budget for cost-effective procurement

Receive visitors, including job candidates, customers, and investors

Process incoming mail and packages

Schedule travel as needed and candidates for interviews 

Manage and maintain routine office tasks around office cleaning, garbage, utilities, safety, and organization

Own administrative and compliance-related activities

Organize and facilitate team events and activities

Maintain a safe, welcoming, and organized work environment

Assume other responsibilities as requested in support of departmental goals and priorities


Required Skills/Abilities

Excellent time management skills with a proven ability to meet deadlines

Strong problem-solving skills

Ability to prioritize tasks and delegate them when appropriate

Scheduling and calendaring

Ability to operate effectively in a rapidly changing environment with minimal supervision

Ability to function well in a high-paced and at times stressful environment

Ability to collaborate in highly cross-functional environments

Proficient with Microsoft and Google Office Suite or related software

Develop and maintain awareness of occupational hazards and safety precautions

Communicate effectively, both orally and in writing

Must be fluent in English (Oral and Written)


Education and Experience

Training certificates or degrees from an employer, trade school, or college 

At least 2 years of experience as an office manager for a small to medium-sized company, preferably in a fast-paced start-up company environment 

Experience managing vendors (food, catering services, office supply)

Experience managing shipping and receiving department 


Physical Requirements

Prolonged periods of sitting at a desk and working on a computer

Must be able to lift up to 25 pounds at times, and bend/squat periodically
