Notion is an in person company, and currently requires its employees to come to the office for two Anchor Days (Mondays & Thursdays) and requests that employees spend the majority of their week in the office (including a third day).

About The Role:

We seek an experienced Legal Operations Lead to drive operational excellence across our Legal Team and support our ambitious growth trajectory. This role will report to the General Counsel and will partner on strategic planning, management of the Legal team’s financial matters, vendor relationships, and program/project management.

What You'll Achieve:

Strategic Planning & Operations:

  • Work with the General Counsel on the strategic planning process for the Legal team, including tracking key areas of improvement for the team based on business objectives
  • Coordinate with team leadership to define, plan for, and communicate key goals and initiatives
  • Identify, collect, and use aggregate data to drive informed legal department-level decisions
  • Track industry best practices to inform strategic planning
  • Identify opportunities for efficiency gains and process optimization
  • Serve as liaison between Legal and other stakeholder teams (such as Finance, Accounting, and Business Operations)
  • Execute special projects as assigned by the General Counsel

Financial Management & Analytics:

  • Work with the General Counsel on management of the department budget, including forecasting, obtaining accurate accruals from vendors, and spend tracking
  • Serve as primary liaison with accounting and finance teams on budgeting and reporting
  • Identify actionable insights and analytics from spend within the Legal team
  • Develop and track departmental objectives for cost optimization and efficiency
  • Develop data-driven benchmarking and analysis for practice areas and project types

Firm & Vendor Management:

  • Oversee full lifecycle of outside counsel management, including onboarding, billing, evaluation, and optimization
  • Manage end-to-end e-billing operations, including system administration and training
  • Ensure vendor compliance with billing guidelines and department requirements
  • Coordinate periodic business reviews with key partners
  • Coordinate with procurement on vendor selection, management, onboarding, and compliance
  • Review and reconcile invoices across e-billing and payment systems

Project & Program Management:

  • Partner with the General Counsel to ensure projects/processes are moving forward and the Legal team has access to information regarding the current status of projects and initiatives
  • Coordinate meetings, information preparation, and updates for key initiatives
  • Create standardized workflows for matter intake and project tracking

Skills You'll Need to Bring:

  • 7+ years of combined legal operations, consulting, and related experience
  • Demonstrated expertise in financial matter management, strategic planning, and managing vendor relationships
  • Experience with matter management and e-billing platforms (e.g., Brightflag, SimpleLegal)
  • Deep understanding of legal department operations and processes
  • Strong communication skills and cooperative team player
  • Natural curiosity, technologically savvy, and willingness to learn and operate tools, applications and systems that benefit the team’s workflows
  • Ability to directly interact with, and build strong relationships and trust, with internal clients and leaders
  • Resilience, resourcefulness, and the ability to make recommendations and decisions with imperfect facts
  • Independent and strategic thought combined with excellent team player qualities (no job is too small or too large) and a willingness to take on additional responsibilities
  • Proven track record building new or improving existing programs or processes
  • Ability to thrive in a fast-paced environment

Notion is committed to providing highly competitive cash compensation, equity, and benefits. The compensation offered for this role will be based on multiple factors such as location, the role’s scope and complexity, and the candidate’s experience and expertise, and may vary from the range provided below. For roles based in San Francisco, the estimated base salary range for this role is $150,000-185,000 per year.
