The Document Control Specialist is responsible for managing and maintaining a company's documents, ensuring their accuracy, proper storage, and accessibility by tracking document flow, organizing files, and archiving information according to established procedures and compliance regulations, often utilizing a dedicated document management system; they act as the central point for document distribution and retrieval within an organization

JOB RESPONSIBILITIES

  • Document Management:
  • Receiving, reviewing, and processing incoming documents 
  • Assigning document numbers and routing for approvals 
  • Maintaining a comprehensive document database and filing system 
  • Updating and revising existing documents as needed 
  • Tracking document changes and revisions through version control 
  • Distributing documents to relevant stakeholders 

  • Compliance and Quality Assurance:
  • Ensuring adherence to company document control policies and procedures 
  • Monitoring document retention schedules and archiving procedures 
  • Identifying and addressing potential document quality issues 
  • Performing regular audits to maintain document integrity 

  • Data Entry and Reporting:
  • Entering document metadata into the document management system 
  • Generating reports on document usage and compliance 
  • Maintaining document logs and tracking records

QUALIFICATIONS & REQUIREMENTS

  • High commitment to contribute to a positive, high paced, and results oriented work environment.
  • Minimum of 5 years of experience working with industry standards that include ISO 9001 (AS9100 experience preferred)
  • Demonstrated ability to be disciplined in approach and thought process.
  • Proficiency in document management software (e.g., SharePoint, Adobe Acrobat) 
  • Knowledge of electronic document scanning and imaging 
  • Familiarity with data entry and reporting tools 
  • Meticulous accuracy in handling document information and maintaining proper filing systems 
  • Ability to manage large volumes of documents efficiently and systematically 
  • Clear communication with stakeholders regarding document requests and updates 
  • Familiarity with document management systems and relevant software 
  • Understanding of industry regulations and document control best practices 
  • Team-oriented and self-directed.
  • High level of accountability.
  • Experience within quality systems in a medium/high volume manufacturing environment.
  • Detail oriented with strong record-keeping and organizational skills.

Our job titles may span more than one career level. The starting base salary for this full-time position is between $85,000 and $125,000. This salary range reflects the minimum and maximum target for this position in the U.S. The actual base pay is dependent upon many factors, such as work experience, job-related skills, related education, work location, and market demands. The base pay range is subject to change and may be modified in the future. In addition to a competitive base salary and a comprehensive benefits package, this position may be eligible for other forms of compensation such as participation in a bonus and equity program, as applicable.
