Our story began 30 years ago with the vision making a strong selection in toys and games that were not only fun to play but also let people grow. Soon hereafter our founders decided to develop the first ‘one player multi-level logic game’, together with their inhouse design team. From here SmartGames was born. The mechanics of the first SmartGames were simple, players needed to exercise their brains by puzzling roads, boats, or penguins on the gameboard to solve each challenge. Our team is growing, and we are seeking an Administrative Coordinator to round out our team! Duties for this position include:
Customer service and accounting support:
- Collect all required new customer application forms and documents from sales reps and new customers for new customer set up.
- Provide retail customers with tracking information and webstore customer service as needed.
- Check credit reference for new accounts to approve credit limit and terms.
- Manage customer service requests/tickets through Zendesk including processing replacement part orders from the office.
- Open case tickets in warehouse Service Now system to request credits or rebills for shipping charges billed to incorrect FedEx or UPS shipping account or chargebacks due to warehouse shipping or labeling errors.
- Manage open orders weekly to close out open orders that already shipped or closed as needed and identify possible missed open orders that did not ship.
- Assist customer service with order entry/import as needed.
- CPI compliance set up – assist with completion and maintenance of PCI self-assessment to ensure compliance with storing customer credit card information securely in system.
Amazon and ecommerce support:
- Conduct listing audits on Amazon, Walmart.com webstore and other company sites to assure that all listings and other pages are formatted and optimized according to company standards.
Monitor social media channels and respond to follower comments and questions
Learn Amazon reporting systems and run regular reports as directed
Coordinate and respond to Compliance requirements from Amazon and other sites.
Operations support:
- Manage test certificates & test reports – update test certificates (CPCs) and maintain testing records in Comply Pro+ portal.
- Inventory reconciliation – compare warehouse SWIMS vs. QB orders shipped and inventory received monthly and make inventory adjustments as needed.
- Update/maintain Product Spec. Sheet and Product Information Form in shared folder.
- Update Customer Information Sheet (CIS) warehouse instructions for retail compliance customers.
